# Timekeeping and Overtime

> Who tracks time, how, and when overtime applies.

## Non-exempt employees

If you're non-exempt (hourly), you must record every hour you work, accurately, in the timesheet in PracticeOS. This includes short tasks done from home, replying to work messages, and anything else that's work.

* Record time daily. Don't reconstruct a week from memory on Friday.
* Never work off the clock, even to be helpful. If there's more work than hours, tell your manager.
* Don't record time for someone else, and don't let anyone record yours.
* Meal breaks of 30 minutes or more where you're fully relieved of duty are unpaid. Short breaks under 20 minutes are paid.

## Overtime

Non-exempt employees earn one and one-half times their regular rate for hours worked over 40 in a workweek. Our workweek runs Monday through Sunday. Paid days you didn't work don't count as hours worked for overtime purposes. Utah doesn't require meal or rest breaks for adults; the practice gives them anyway, and nursing breaks are always available. See [Accommodations](/employment/accommodations).

Overtime must be approved in advance by your manager. Unapproved overtime will still be paid, because the law requires it, but it may lead to a conversation about workload or corrective action.

## Exempt employees

If you're exempt (salaried), you're paid for the job, not the hour. You don't record hours for pay purposes, and you don't earn overtime. Clinicians do record completed sessions, because the production bonus is calculated from them. See [Production bonus](/pay-and-time-off/production-bonus).

Exempt clinicians work a four-day week. That structure is real. If you find your work regularly spilling past it, tell Helen. That's a workload problem for the practice to solve, not for you to absorb. The only fifth day is one you choose to bank. ## Interns

MSW practicum interns are non-exempt hourly employees, scheduled up to 16 hours per week during the academic year. Record all hours, including supervision time.
